5 Tips For Workplace E-mail – Elf Knows It [ARCHIVED]

These are some simple tips to roll out around your workplace to make E-mail a better experience for everyone, internal and external!

5 – Use a Signature
Get all staff to have a basic signature at the footer of their E-mail, something simple such as their name, the company name and contact details will suffice. There’s nothing more frustrating than receiving an e-mail and not knowing who it’s from, leaving the recipient to check the senders address for a clue.

4 – Use Punctuation
Simple punctuation can go a long way when sending an E-mail, just a few simple full-stops, comma’s and line breaks where needed, this makes your mail so much easier on the eyes of the reader!

3 – DON’T USE ALL CAPS
A big no-no when writing company e-mails, I’ve seen many in my time that have been scribbled down in all capital letters, and believe me, it can be very off-putting!

2 – Write above the last reply
Some people are in the habit of starting their reply UNDER the previous one, this leads to confusion and unnecessary searching for the recipient. It’s a lot easier to have the reply you are expecting waiting for you at the top of the page rather than the bottom, especially for e-mails that have a few replies.

1 – CC’ing (Carbon Copy) other staff members
A lot of people have gotten into the habit of CC’ing management et.c when e-mailing somebody about a work related topic, but you should always remember to ask the person you are CC’ing if it’s OK, or at least use the BCC (Blind Carbon Copy) option, by including them in the CC field you are associating them with the conversation and making them a point of contact, maybe they don’t want that. Use this option wisely!
